The Anatomy of a Genuine Thank-You
Sending a note after a professional encounter is standard practice, but relying on a blank template often results in empty phrasing. The goal of a post-meeting note is not merely to check a box, but to reinforce a positive impression and remind the person of the value exchanged during your conversation.
Prioritize the specific detail
The most important part of any follow-up is referencing a detail specific to your interaction. Instead of saying "thanks for your time", point out exactly what you appreciated. "I really enjoyed our discussion about migrating legacy systems to modern workflows" shows you were listening and engaged. The generator asks for this detail because it transforms a generic email into a memorable one.
Platform differences: LinkedIn vs. Email
Where you send your message alters how you structure it. Email allows for a subject line, a slightly formal structure, and paragraph breaks. It is the dominant choice for job interviews and formal referrals. LinkedIn relies on shorter, punchy text. When connecting with someone on LinkedIn after an event, your message must be brief enough to fit in the connection request note limits or quick direct messaging habits.
Phrases to leave behind
We built a minor warning system into the textarea above to catch worn-out networker phrases. While saying "I hope this email finds you well" is perfectly polite, it consumes space without adding substance. Similarly, asking to "pick your brain" implies a one-sided extraction of value rather than a collaborative sharing of ideas. Use direct language. Rather than "touching base," say exactly why you are reaching out.
The Timing Rules
- Job Interviews: Send within 24 hours. If your interview ended late afternoon, aim for early the next morning.
- Informational Interviews: Send the same day or the following morning.
- Networking Events: Send within 48 hours while the context is still fresh.
- Collaborations: Send as the project wraps up, summarizing the overall success.
